It reduces complex buyer journeys to arbitrary math, like giving a VP 15 points and a Fortune 500 company 20. To add to that, “predictive” models are still just lead scoring, but slightly fancier.
At Relevance AI, static lead scoring systems failed to grasp the nuances of why a prospect actually needed our solution.
So we built the Demo Qualification Manager—a multi-agent system that replaces scoring. It doesn’t just rank leads—it understands them, researches their challenges, evaluates fit, and books demos autonomously.
Demo Qualification and Calendar Booking
Our Demo Qualification Manager comprises multiple agents that work together step by step to qualify leads, communicate with prospects, and schedule demos at the most suitable time.
Enrichment
The process begins when a lead requests a demo via our website (trigger), and the prospect’s details—including name and email—are automatically enriched by the CRM Enrichment Agent.
Essentially, after categorizing the user’s email as work or personal, the enrichment agent gathers data from Google and LinkedIn to help evaluate if the prospect is a good fit. The job title is also used to classify the role into a job function.

After the enrichment agent has completed its research, it stores all of that in our our CRM.
Qualification
The next step is pre-demo qualification. This tool doesn’t just “score” leads—it engages in a series of steps to determine exactly how (and if) we can solve a prospect’s unique challenges.
Here’s how it works:
- Firstly, classifies the prospects use case.
- It assesses their company size, seniority, and location of the prospect.
- Based on a set criteria it decides whether they are qualified.
If qualified, the Agent then decides the most appropriate sales rep to assign it to.
This entire process eliminates the need for lead scoring. Everything happens automatically, without manual intervention, ensuring that only relevant demo requests reach our sales team.

Scheduling the Demo
Now for the fun part: booking the actual demo. This is where our Demo Outreach Manager steps in. It emails the prospect and finds a suitable time—only if they’re qualified.
Using our brand tone and voice (casual, fun, not too serious) and a 4th grade level style of writing, we’ve set up this agent to craft an email for qualified prospects that uses a few tools before it sends the email:
- Retrieve hubspot Engagement: checks if the current prospect has an existing conversation happening with one of our team.
- Calendar Availability Checker: finds available timeslots in both the prospect and the sales rep's timezone.
- Generate personal opening: Crafts a personalized opening tailored to the prospect based on everything we've learn about them.
If the prospect replies it will reply. Whether to book in the meeting, find another time, or answer any questions.
This eliminates the back-and-forth between the sales rep and the prospect, saving hours of manual work and accelerating time-to-demo, giving our sales team more time to actually run demos and build relationships.
